This guidance sets out the process for requesting GP IT funded equipment, the process for items not funded under GP IT, and a simple summary of what is in scope.

1) How to Request GP IT Funded Equipment
GP IT funding covers core equipment required to support primary care delivery.
Process
- Log a call with the LHIS Service Desk (category: GP IT equipment request).
- The request is assigned to your LHIS Project Manager (PM).
- Your PM will:
- Check eligibility under GP IT
- Confirm the standard specification
- Approve the request where appropriate
- LHIS will procure, asset‑tag, configure and deliver/install the equipment.
- Any old equipment being replaced must be returned to LHIS for secure disposal.
Items GP IT Fund
- Desktop PCs (standard spec)
- Laptops for ARRS roles (where staff work across multiple sites and stock is available)
- Printers (only when failed beyond repair)
- Scanners (only when failed, limited number per practice)
- A double network point for new starters, where no existing point is available or the existing point requires repair

2) How to Request Non GP IT Funded Equipment
Some items fall outside GP IT funding and must be purchased by the practice.
Process
- Request a quotation from LHIS via the Service Desk.
- The practice must review, sign and approve the quotation.
- LHIS will invoice the practice and order the equipment upon approval.
If you’re unsure whether something is GP IT‑funded, please speak to your PM before approving the quote.
3) Equipment for PCN ARRS Roles
- New ARRS roles: GP IT will provide devices if stock is available.
- Replacement ARRS staff: Please log a Service Desk call so the device can be reimaged before re‑issue.
If a device is missing or beyond repair, your PM will advise whether GP IT can support.
4) Practice Responsibilities
- Log GP IT requests via the LHIS Service Desk
- Do not move equipment between practices or sites
- Issue locum laptops with caution
- Return old equipment to LHIS for disposal
- Fund any building‑related infrastructure (network points, cabling, comms cabinets)
- Approve and fund quotes for non‑GP IT items
- Contact your LHIS PM for any queries, advice or clarification
